Room/Suite requirements and policy
- PTC has negotiated hotel standard guest room and suite rates with the Hilton Hawaiian Village® Beach Resort & Spa, PTC'08's official conference hotel. Negotiated hotel room rates are for PTC'08 conference/networker registered delegates, sponsors, exhibitors and cubicle renters. The special room rate applies to one room per person only. All non-registered delegates are subject to a $25.00/night rate increase.
- To reserve a hotel suite for hospitality, office, or meeting purposes, one is required to spend a minimum of US$4,500 (US$4,000 for PTC members) on a combination of any of the following: Corporate Partner membership; registrations (excluding aloha shirts and reception tickets); sponsorships; advertising; exhibit booths/conference cubicles; or One-2-One meeting tables. This minimum must be met for each reserved suite. (Note: a "suite" is defined as parlor, or parlor plus one-bedroom, or parlor plus two-bedrooms.)
- PTC is not responsible for furniture and setup requirements. Please work directly with the Hilton for these arrangements.
- To reserve a hotel standard guest room and to convert it for hospitality, office, or meeting purposes, one is required to spend a minimum of US$1,500 (US$1,000 for PTC members) on a combination of any of the following: Corporate Partner membership registration (excluding aloha shirts and reception tickets); sponsorships; advertising; exhibit booths/conference cubicles; or One-2-One meeting tables. Please note: this minimum must be met for each reserved room to be converted.
- PTC controls the use of hotel banquet rooms for meetings, presentations, and hospitality functions and charges a facilities fee. For daytime use, PTC charges a rental fee based upon size of room and length of use. Banquet rooms used for daytime or evening hospitality events will only be released to organizations registering at least four people for the conference (or six, if networkers). In addition, a PTC facilities charge of US$5 per person (based on F&B head count) will be invoiced to the hosting organization. This PTC facilities charge will be used to defray conference expenses and fund future PTC programs. Note: sponsors (gold level and higher) will be given first priority on reserving banquet rooms.
- A suite or standard guest room may be reserved for personal use without meeting the PTC minimum investment requirements as long as it is agreed that it will not be used for business meetings or hospitality functions. This agreement will be secured in writing via a separate written document to be provided by PTC.
