Badges and Admittance

Official PTC badges must be worn at all times for admittance to all conference sessions and social events. There will be a USD 50 charge to replace a lost badge. PTC reserves the right to refuse entry or to escort out any attendee without an official PTC badge. ALL badges are non-transferable. Transferring and sharing of badges will result in confiscation of the badge and revocation of registration.

No Smoking Policy

Smoking is not permitted during any conference session or in the conference foyer. JW Marriott Washington, DC prohibits smoking, including e-cigarettes, in all enclosed or partially enclosed areas open to the public that include, but not limited to, all conference rooms, pavilions, restrooms, lobbies, reception areas, hallways, bars, hotel rooms, balconies, restaurants, retail service establishments, and retail stores.

Smoking for guests, including e-cigarettes, is prohibited everywhere on property at the JW Marriott Washington, DC, except for designated smoking areas outside the building.

Consent to Use Name, Image, Voice, and Likeness

PTC’DC will be filmed and photographed. PTC and the photographers and videographers under its hire may photograph or make audio or video recordings of PTC’DC events and attendees. By registering to attend PTC’DC, you irrevocably grant permission to PTC to use your name, photographs, images, recordings, or likenesses for promoting and advertising PTC and its events, at any time, in any and all media whether now known or in the future developed.

Registration Policy

Please note the following registration policies:
  • Registration fees must be paid in USD. All credit card transactions are processed in USD and subject to the current exchange rates. Foreign transaction fees may be charged by your credit card company.
  • Fees are determined by the date payment is received, and not by the date your registration form was completed.
  • PTC members must be in good standing in order to be eligible for the discounted registration rate. To be considered a PTC member in good standing, your membership dues renewal must be completed before PTC’DC.
  • A valid form of photo identification must be presented to claim registration badge and materials.
  • Materials may not be picked up for another attendee unless prearranged written authorization from the registrant is received and approved by a PTC representative.
  • PTC does not accept hotel deposits or reservations. Hotel reservations, deposits, and payment are made directly with the hotel.

Substitution Policy

Paid registrations may be transferred to a substitute attendee from the same company. All substitution requests must be submitted in writing via email to ptcreg@ptc.org. Substitutions received after Friday, 1 August 2025 are subject to a USD 50 administrative fee.

Cancellation/Refund Policy

Cancellations must be submitted in writing via email to ptcreg@ptc.org. Cancellations received by Friday, 1 August 2025 are subject to a USD 100 administrative fee. No refunds will be granted after Friday, 1 August 2025.

Signage Policy

All signage to be displayed in public areas must receive written approval in advance from PTC. PTC and JW Marriott Washington, DC security will remove all other unauthorized signs.

Attendee List Solicitations and Scams

PTC does not sell, rent, or make publicly available attendee information. If you’ve received any communications regarding the purchase, rental, or acquisition of our attendee list, be advised that it is a scam. We retain attendee information solely for event purposes. All registered attendees can choose to opt in to display their name in the PTC’DC Mobile App, accessible only to registered attendees. Turn Off Mobile Phones and Devices

Before attending a session, all conference registrants are reminded to turn off or set to silent mode all mobile phones and other devices that may distract other registrants. You are kindly requested to leave the room if you must answer your phone. Your cooperation is greatly appreciated.

Conference Cancellation or Postponement

PTC shall not be held responsible for any delay or failure in performance of its obligations to the extent caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, the availability of the conference venue, or other similar causes beyond its reasonable control. In such event, PTC in its sole discretion may postpone, reschedule, or cancel the event without liability to any attendee for damages, costs, or expenses, including costs of transportation or accommodation. PTC’s sole responsibility if the event is canceled or rescheduled for any reason would be a refund of conference registration fees. Speakers identified in the PTC’DC agenda are not guaranteed. Any change in the speakers or sessions offered shall not constitute a basis for refund or cancellation.

What is the Dress Code for PTC’DC?

The dress code for PTC’DC is business-appropriate attire. Men may opt to wear aloha shirts paired with blazers.

Where is the PTC Secretariat Located During the Conference?

The PTC Secretariat is located in the Capitol Office on the Ballroom Level -3.

Where Can I Access the Internet While at the JW Marriott Washington, DC?

Your PTC’DC registration includes wireless internet access in all PTC’DC meeting spaces, including the Capitol Ballroom, Capitol Foyer, and Russell and Hart Meeting Rooms. Wireless internet in your sleeping room is also included if you are a Marriott Bonvoy member staying at the JW Marriott Washington, DC.

How Can I Confirm my Registration?

PTC Registration will send an email confirmation within 24 hours of receiving your registration. If you do not receive confirmation within this time, please email ptcreg@ptc.org.

What Are the Acceptable Methods of Payment?

PTC accepts payment via bank wire transfer, check, credit card, and purchase order.

If your company requires an invoice or additional time to process payment, please email your request to ptcreg@ptc.org at least one (1) month before the conference. Bank wire transfers must be received in PTC’s bank account by Thursday, 28 August 2025 to complete your registration and confirm your attendance.

You may want to consider paying with a valid credit card and request reimbursement from your company to complete your registration prior to the start of conference.

Please register early and remit payment promptly to minimize delays.

Where is the Registration Desk Located?

The registration desk is located in the Capitol Foyer on the Ballroom Level -3 of the JW Marriott Washington, D.C.

Travel

What is the Weather like in Washington, D.C., in September?

The average high temperature in September is 82°F/28°C. The average low temperature is 65°F/18°C.

What Transportation Options Are Available Between the Ronald Reagan Washington National Airport and the JW Marriott Washington, DC?

There are various modes of transportation between the airport and hotel.
  • The fare for a taxi ranges from USD 20 to USD 30 and total travel time is approximately 15 to 25 minutes. Taxis are available outside of baggage claim.
  • Rideshare companies Uber and Lyft are available in Washington, D.C. Airport pickup locations are located at Terminal 1 – third outer curb, and Terminal 2 – Baggage Claim (Arrivals) level, first floor, on the outer curb.
  • The Washington, DC Metrorail system has a Metrorail station connected to the concourse level of Terminal 2. The nearest Metro station to the conference hotel is Metro Center, 607 13th St. NW, Washington, DC 20005.

How Long Does it Take to Process a Visa Application?

The U.S. Department of State recommends that visa applications be submitted at least 90 days in advance. Please allow ample time to obtain a visa before your planned travel to PTC’DC.
