Terms and Conditions

Non-conference and one-day conference attendees who are not registered for Sunday may NOT purchase Sunday Opening Reception tickets. Guests of conference registrants (as defined below under “Guest Policy”) are the exception, in which case, tickets may only be purchased for guests by the registrant before or during the conference, based on availability.

The Members’ Soirée is for PTC Members only. Should you wish to attend the event and are interested in becoming a PTC Member, please review the membership information and complete an application form by Monday, 11 January 2021. Please be expected to provide the full PTC membership dues payment upon approval of your application.

Official PTC badges must be worn at all times for admittance to all conference sessions and social events. There will be a USD 50 charge to replace a lost badge. PTC reserves the right to refuse entry or to escort out any attendee without the appropriate badge. ALL badges are non-transferable. Transferring and sharing of badges will result in confiscation of the badge and revocation of registration.

Guests are welcome to attend the Sunday Opening Reception provided that guest tickets have been purchased for this event.

A Guest is defined as a spouse, significant other, friend, or daughter or son (21 years of age or older). Children, defined as persons under 21 years old, are not allowed to attend any PTC functions. If you wish to arrange for childcare, please contact the hotel concierge regarding the Camp Penguin Program.

Smoking is not permitted during any conference session or in the conference foyer. Hawaii State law prohibits smoking, including e-cigarettes, in all enclosed or partially enclosed areas open to the public that include, but not limited to, all conference rooms, pavilions, restrooms, lobbies, reception areas, hallways, bars, hotel rooms, balconies, restaurants, retail service establishments, and retail stores.

Smoking for guests, including e-cigarettes, is prohibited everywhere on property at Hilton Hawaiian Village®, except for the red areas designated on this map.

PTC’21 may be filmed and photographed. PTC and the photographers and videographers under its hire may photograph or make audio or video recordings of PTC’21 events and attendees. By registering to attend PTC’21 you irrevocably grant permission to PTC to use your name, photographs, images, recordings, or likenesses for promoting and advertising PTC and its events, at any time, in any and all media whether now known or in the future developed.

Please note the following registration policies:

  • Registration fees must be paid in USD. All credit card transactions are processed in USD and subject to the current exchange rates. Foreign transaction fees may be charged by your credit card company.
  • Fees are determined by the date payment is received, and not by the date your registration form was completed.
  • PTC Members must be in good standing in order to be eligible for the discounted registration rate. To be considered a PTC Member in good standing, your membership dues renewal must be completed before PTC’21.

Paid registrations may be transferred to a substitute attendee from the same company. All substitution requests must be submitted in writing via email to ptcreg@ptc.org or faxed to +1.833.944.0749. Substitutions received after Thursday, 31 December 2020 are subject to a USD 25 administrative fee.

Cancellations must be submitted in writing via email to ptcreg@ptc.org or faxed to +1.833.944.0749. Cancellations received by Thursday, 31 December 2020 are subject to a USD 50 administrative fee. No refunds will be granted after Thursday, 31December 2020.

Category changes must be submitted in writing via email to ptcreg@ptc.org or faxed to +1.833.944.0749. To change to a higher-priced registration category, please include your preferred payment method to settle the balance due. To change to a lower-priced registration category, requests must be received by Monday, 14 December 2020. The credit balance will be refunded via the same payment method used when registering. No refunds will be granted for requests received after Monday, 14 December 2020.

All signage to be displayed in public areas must receive written approval in advance from PTC. PTC authorized signs include the PTC’21 digital kiosk directories and door clings. PTC and Hilton security will remove all other unauthorized signs.

If you are interested in purchasing a door cling or having your hospitality suite or meeting room location listed on the PTC’21 digital kiosk directories, please email suites@ptc.org or call +1.808.941.3789.

Before attending a session, all conference registrants are reminded to turn off or set to silent mode all mobile phones, pagers, and other devices that may distract other registrants. You are kindly requested to leave the room if you must answer your phone. Your cooperation is greatly appreciated.

PTC shall not be held responsible for any delay or failure in performance of its obligations to the extent caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, the availability of the conference venue, or other similar causes beyond its reasonable control. In such event, PTC in its sole discretion may postpone, reschedule, or cancel the event without liability to any attendee for damages, costs, or expenses, including costs of transportation or accommodation. PTC’s sole responsibility if the event is canceled or rescheduled for any reason would be a refund of conference registration fees. Speakers identified in the PTC’21 agenda are not guaranteed. Any change in the speakers or sessions offered shall not constitute a basis for refund or cancellation.

Dress Code

The dress code for PTC’21 is business casual. As such, business suits are not necessary. Attendees are encouraged to wear aloha shirts.

Please be aware that the temperature in the session rooms is often much cooler than the temperature outside. Therefore, a sweater or light jacket is recommended.

Conference Secretariat

The PTC Secretariat is located in Sea Pearl 1, 2, and 3 in the Mid-Pacific Conference Center.

Internet Access

Your PTC’21 registration includes wireless Internet access in the public areas of the Hilton Hawaiian Village® Waikiki Beach Resort (e.g., Super Pool, Tapa Pool, Tapa Bar, and Starbucks). Wired and wireless Internet in your sleeping room for a maximum of four (4) devices is also included if you are staying at the Hilton and reserved your room in the PTC room block.

PTC’21 offers five (5) categories of registration. Select the registration category below that suits your needs:

PTC Registration will send an email confirmation within one (1) hour of receiving your registration. If you do not receive confirmation within this time, please email ptcreg@ptc.org.

PTC accepts payment via bank wire transfer, check, credit card, and purchase order.

If your company requires an invoice or additional time to process payment, please email your request to ptcreg@ptc.org at least one (1) month before the conference. Bank wire transfers must be received in PTC’s bank account by Friday, 15 January 2021 to complete your registration and confirm your attendance.

You may want to consider paying with a valid credit card and request reimbursement from your company to complete your registration prior to the start of conference.

Please register early and remit payment promptly to minimize delays.

The registration booth is located in the Coral Lounge on the 6th Floor of the Mid-Pacific Conference Center at the Hilton Hawaiian Village® Waikiki Beach Resort.

Travel

The average high temperature in January is 80°F/27°C. The average low temperature is 66°F/19°C. Passing rain showers are common in Honolulu in January.

There are various modes of transportation between the airport and hotel.

  • Shuttle service starts at USD 14 per person. The total travel time on a shuttle varies based on the total number of passengers and their destinations.
  • The fare for a taxi is approximately USD 50. Total travel time via taxi is usually 20–30 minutes.
  • Both airport shuttles and taxis are available outside of baggage claim.
  • Rideshare companies Uber and Lyft are available on Oahu. Airport pick up locations are located on the second level center median outside Lobby 2, 5, and 8.

The U.S. Department of State recommends that visa applications be submitted at least 90 days in advance. Please allow ample time to obtain a visa before your planned travel to PTC’21.

Financial Assistance

Assistance funds are made available to qualified participants through donations from PTC Members and other sources. The Meheroo Jussawalla Research Award recipient, Yale M. Braunstein Student Award recipient, and PTC Young Scholars are ineligible for financial assistance the year they participate in these programs.

Technology

Cyberstations provide PTC registrants access to the Internet. Cyberstations are located in the Coral Lounge on the 6th Floor of the Mid-Pacific Conference Center.

Conference Services

Business services are provided by the Xerox Business Center located on the ground floor of the Diamond Head Tower. All services are available from 06:00–22:00. Self-service is available 22:00–06:00 (limited to Internet, copying, printing, and faxing). Room key and credit card are required.

The Hilton Hawaiian Village® Waikiki Beach Resort provides fun-filled and educational activities for children. Full- and half-day programs with activities focused on learning about Hawaii are scheduled each day. For further information, contact the Hilton Hawaiian Village® Waikiki Beach Resort at +1.808.942.2267, or sign up at the Activities Director’s desk located in the Main Lobby at least 24 hours in advance.

Terms and Conditions

Registrant’s information, such as name, job title, company name, country, and email address, will be imported into the PTC’21 online conference platform to provide the registrant with access to conference program sessions, exhibits, networking lounges, events, and to connect with other attendees. The registrant will have the ability to update their individual profile on the conference platform.

Online Conference Platform

Click the “forgot password” link. Enter your email address and an email will be sent with a one time link to login and choose a new password. (Please check your inbox or spam folders for an email from info@virtualeventplace.com.) Click the link in the email, create and confirm your new password and click “save.” Under the “My Virtual Events” tab, click on “PTC’21 NEW REALITIES.” Do not share your username or password.

PTC’21: New Realities will be presented in Hawaii Standard Time. Please be aware that the online platform will display all times in Eastern Standard Time, however, your local time will display right next to it in red. The PTC’21: New Realities conference schedule can be found on the PTC’21 Complete Program page of the conference website.

The online conference platform, Virtual Event Place, utilizes the Zoom platform within its platform for conference sessions.

All conference sessions will be archived and available on the online platform approximately 48 hours after they have taken place. In addition, all PTC’21: New Realities registered attendees will have access to the online platform 30 days from when the conference ends. Please note, attendees will only have access for what their registration allows, either full conference, exhibitor, or networking lounge.

Yes! Be sure to participate in the Opening Reception on Monday, 18 January at 09:30 in the Tapa Auditorium and the Women’s Reception also on Monday, 18 January at 16:30 in the PTC Networking Lounge, and the Bright Lights: ACC Appreciation Concert on Tuesday, 19 January at 23:00 in the PLDT Global Networking Lounge (if you miss it, you can watch a replay on Wednesday, 20 January at 12:30 in the Tapa Auditorium).

Attendees can network in real-time with fellow attendees and exhibitors one-on-one via chat or video in any space on the online platform. Network at PTC’21 social events, like the Opening Reception and Women’s Reception or in the various networking lounges.

Attendees can earn points for participating in PTC’21: New Realities. Click the leaderboard in the main navigation bar and you will see how to earn points, as well as the top scorers. Play to win a special prize from PTC.

The PTC Cultural Experience Networking Lounge is available throughout the conference. Take a break and enjoy on-demand content. Discover Hawaii, make a Mai Tai, dance, or whip up a local dish.
