Terms and Conditions
Sunday Opening Reception
Opening Reception tickets for guests of conference registrants (as defined below under “Guest Policy”) may only be purchased by the registrant before or during the conference, based on availability.
Members' Soirée
The Members’ Soirée is for PTC Members only. Should you wish to attend the event and are interested in becoming a PTC Member, please review the membership information and complete an application form by Monday, 12 January 2026. Please be expected to provide the full PTC Membership dues payment upon approval of your application.
Badges and Admittance
Guest Policy
Guests are welcome to attend the Sunday Opening Reception provided that guest tickets have been purchased for this event.
A Guest is defined as a spouse, significant other, friend, or daughter or son (21 years of age or older). Children, defined as persons under 21 years old, are not allowed to attend any PTC functions.
No Smoking Policy
Smoking is not permitted during any conference session or in the conference foyer. Hawaii State law prohibits smoking, including e-cigarettes, in all enclosed or partially enclosed areas open to the public that include, but not limited to, all conference rooms, pavilions, restrooms, lobbies, reception areas, hallways, bars, hotel rooms, balconies, restaurants, retail service establishments, and retail stores.
Smoking for guests, including e-cigarettes, is prohibited everywhere on property at Hilton Hawaiian Village®, except for the red area designated on this map.
Consent to Use Name, Image, Voice, and Likeness
Registration Policy
- Registration fees must be paid in USD. All credit card transactions are processed in USD and subject to the current exchange rates. Foreign transaction fees may be charged by your credit card company.
- Fees are determined by the date payment is received, and not by the date your registration form was completed.
- PTC Members must be in good standing in order to be eligible for the discounted registration rate. To be considered a PTC member in good standing, your membership dues renewal must be completed before PTC’26.
- A valid form of photo identification must be presented to claim registration badge and materials.
- Materials may not be picked up for another attendee unless prearranged written authorization from the registrant is received and approved by a PTC representative.
- PTC does not accept hotel sleeping room deposits or reservations. Hotel sleeping room reservations, deposits, and payment are made directly with the hotel.

Signage Policy
All signage to be displayed in public areas must receive written approval in advance from PTC. PTC authorized signs include the PTC’26 door clings. PTC and Hilton security will remove all other unauthorized signs.

Attendee List Solicitations and Scams
PTC does not sell, rent, or make publicly available attendee information. If you’ve received any communications regarding the purchase, rental, or acquisition of our attendee list, be advised that it is a scam. We retain attendee information solely for event purposes. All registered attendees can choose to opt in to display their name in the PTC’26 Mobile App, accessible only to registered attendees. For more details, please refer to the PTC Privacy Policy.
Turn Off Mobile Phones and Devices
Before attending a session, all conference registrants are reminded to turn off or set to silent mode all mobile phones and other devices that may distract other registrants. You are kindly requested to leave the room if you must answer your phone. Your cooperation is greatly appreciated.
Conference Cancellation or Postponement
PTC shall not be held responsible for any delay or failure in performance of its obligations to the extent caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, the availability of the conference venue, or other similar causes beyond its reasonable control. In such event, PTC in its sole discretion may postpone, reschedule, or cancel the event without liability to any attendee for damages, costs, or expenses, including costs of transportation or accommodation. PTC’s sole responsibility if the event is canceled or rescheduled for any reason would be a refund of conference registration fees. Speakers identified in the PTC’26 agenda are not guaranteed. Any change in the speakers or sessions offered shall not constitute a basis for refund or cancellation.

General
What is the Dress Code for PTC’26?
The dress code for PTC’26 is business casual. As such, business suits are not necessary. Attendees are encouraged to wear aloha shirts.
Please be aware that the temperature in the session rooms is often much cooler than the temperature outside. Therefore, a sweater or light jacket is recommended.
Where is the PTC Secretariat Located During the Conference?
The PTC Secretariat is located in Sea Pearl 1, 2, and 3 in the Mid-Pacific Conference Center.
Where Can I Access the Internet While at the Hilton Hawaiian Village® Waikiki Beach Resort?
Wireless internet is available in most public areas of the resort. Wireless internet is also available in your sleeping room, for a maximum of four (4) devices, if you are staying at the Hilton and reserved your room in the PTC room block.

How Can I Confirm My Registration?
What Are the Acceptable Methods of Payment?
PTC accepts payment via bank wire transfer, check, credit card, and purchase order.
If your company requires an invoice or more than 30 days to process payment, please email your request to ptcreg@ptc.org at least one (1) month before the conference. Bank wire transfers must be received in PTC’s bank account by Thursday, 15 January 2026 to complete your registration and confirm your attendance.
You may want to consider paying with a valid credit card and request reimbursement from your company to complete your registration prior to the start of conference. Registration materials, including your name badge, will be issued only after full payment has been received.
Please register early and remit payment promptly to minimize delays.
Where is the Registration Booth Located?
The registration booth is located in the Coral Lounge on the 6th Floor of the Mid-Pacific Conference Center at the Hilton Hawaiian Village® Waikiki Beach Resort.
Financial Assistance
Is Financial Assistance Available?
Assistance funds are made available to qualified participants through donations from PTC Members, other donors, and sponsorships. The Meheroo Jussawalla Research Award recipient and PTC Emerging Scholars are ineligible for financial assistance the year they participate in these programs.

Technology
What Are Cyberstations?
Cyberstations provide PTC registrants access to the Internet. Cyberstations are located in the Coral Lounge on the 6th Floor of the Mid-Pacific Conference Center and in the Palace Lounge located on the 2nd Floor of the Tapa Conference Center.
Conference Services
Business Center
Business services are provided by the Aloha Business Center, located on the ground floor of the Diamond Head Tower. Shipments for PTC’26 will be accepted by the Aloha Business Center from 18 December 2025. Please review the shipping instructions.

Travel
What is the Weather Like in Honolulu in January?
The average high temperature in January is 80°F/27°C. The average low temperature is 66°F/19°C. Passing rain showers are common in Honolulu in January.
What Transportation Options Are Available Between the Airport and the Hilton Hawaiian Village® Waikiki Beach Resort?
There are various modes of transportation between the airport and hotel.
- Shuttle service starts at USD 25 per person. The total travel time on a shuttle varies based on the total number of passengers and their destinations.
- The fare for a taxi is approximately USD 50. Total travel time via taxi is usually 20–30 minutes.
- Both airport shuttles and taxis are available outside of baggage claim.
- Rideshare companies Uber and Lyft are available on Oahu. Airport pick up locations are located on the second level center median outside Lobby 2, 5/6, and 8.

How Long Does it Take to Process a Visa Application?
The U.S. Department of State recommends that visa applications be submitted at least 90 days in advance. Please allow ample time to obtain a visa before your planned travel to PTC’26.
