Audiovisual Information
- All presentation materials must be submitted at least four (4) hours before the start of your session. Please use one of the following formats:
- PowerPoint: 2019 or later version
- Video: .wmv, .mp4, .mov, .avi, or .mpg
Note: Other formats may not be compatible or may require conversion in the Speaker Ready Room; please allow extra time. - PDF: Adobe Acrobat
- If you plan to bring your presentation on a USB drive to the Speaker Ready Room, please ensure the drive is formatted for PC compatibility.
- You can upload your presentation using the form below. Only ONE (1) presentation may be uploaded per speaking engagement. Please label your presentation with your last name and the session title. Ensure that only the final version is uploaded. If changes are necessary after uploading, visit the Speaker Ready Room (Sea Pearl 4) on-site to update the version on the session room’s computer.
- The presentations will be sent directly to the session room’s computer, which is compatible with both PC and Mac systems.
- Please do not bring a laptop or any other media device to the session room.
- Presenters are not permitted to load PowerPoint slides or other files directly onto the session room computer from a flash drive, personal laptop, or any other personal device.
Preparing your Presentation
- Please ensure your presentation is created in a 16:9 aspect ratio to fully utilize the widescreen display.
- PowerPoint 2019 and 2021 versions default to 16:9 widescreen. For older versions defaulting to “Standard 4:3,” click on the “Design” tab, then select “Slide Size” and switch to “Widescreen 16:9” before starting your slides.
- Presentations not formatted to 16:9 will fill the screen vertically but display with black bars on the sides of your slides.
- URGENT: Changing the aspect ratio of a presentation can rearrange slide content. If you have already created your presentation in 4:3 for this year, we recommend leaving it as is and creating future presentations in 16:9.
- Each session room is equipped with a presentation Windows PC. An operator will control the display to the audience. If a confidence monitor is provided, it will mirror what the audience sees. Note: Presenter View is supported for smaller rooms where the laptop is at the podium.
- Verification of proper performance of your presentation materials in the Speaker Ready Room is essential, particularly if video or animation is included.
On-Site Check-In
- All speakers are encouraged to check in at the Speaker Ready Room, Sea Pearl 4, preferably the day before, but no later than two (2) hours prior to the start of your session. This refers to the session start time, not your presentation start time.
- Checking in at the Speaker Ready Room, Sea Pearl 4, is the most important step you can take to ensure your presentation is a success.
Speaker Ready Room Hours (Sea Pearl 4):
- Friday, 16 January: 7:00 AM – 6:00 PM
- Saturday, 17 January: 7:00 AM – 6:00 PM
- Sunday, 18 January: 7:00 AM – 6:00 PM
- Monday, 19 January: 7:00 AM – 6:00 PM
- Tuesday, 20 January: 7:00 AM – 6:00 PM
- It is extremely important to review your presentation in the Speaker Ready Room. The computers in the session rooms are identical to those in the Speaker Ready Room, therefore: IF THE PRESENTATION DOES NOT PLAY PROPERLY IN THE SPEAKER READY ROOM, IT WILL NOT PLAY PROPERLY IN THE SESSION ROOM.
- When reviewing your presentation in the Speaker Ready Room, make sure all fonts, images, and animations appear as expected, and all audio/video clips are working properly.
No Internet Access
- Please note that internet access will NOT be available in the session room during your presentation.
Other Equipment
- Each session room is equipped with a computer, data projector, and laser pointer.
