Suites & Converted Rooms


Network and negotiate in privacy and comfort by reserving a suite or standard guest room to convert into meeting space. You can use this space to accommodate a variety of activities, from office use to business meetings to social events.

Nearly any standard guest room can be converted to meeting space. If a suite is preferable, location options include:

  • Rainbow Tower, room numbers ending in 00, 01, 12 or 13
  • Tapa Tower, room numbers ending in 29 or 30
  • Ali`i Tower, room numbers ending in 02 or 05 and 1408/09/12/14 and 1508/09/12/14
  • Diamond Head Tower, rooms on floors 14–17

Room/Suite Requirements and Policies


  1. PTC has negotiated hotel standard guest room and suite rates with the Hilton Hawaiian Village® Waikiki Beach Resort, the official conference hotel for PTC’14. Negotiated hotel room rates are only available to PTC’14 full conference/networker/one-day registrants, sponsors (Diamond, Platinum, and Gold), exhibitors, and cubicle renters (up to six (6) cubicle staff per cubicle). The special room rate applies to one sleeping room per person only. All non-registered delegates are subject to a US$25.00/night surcharge for their sleeping rooms.
  2. Suite Conversion: To be eligible to reserve a hotel suite for hospitality, office, or meeting purposes, one is required to spend a predetermined minimum on one or more of the following PTC items:
    • Full Conference / Networker / One-day / Meeting System Only Registrations
    • Sponsorships
    • Advertising
    • Exhibit cubicles
    • Meeting cubicles
    • Meeting tables
    • Suite signage (kiosk or door banner)

    Eligibility to reserve a suite is not fulfilled by the purchase of aloha shirts, reception tickets, meeting and function rooms, and membership dues. All payments to the Hilton are also excluded. The applicable minimum (as shown on the PTC’14 Suite and Converted Guest Room Agreement) is based on the type of suite (i.e., parlor, parlor plus one bedroom, or parlor plus two bedrooms) and must be met for each suite reserved. Please note this minimum is in addition to the rates charged by the Hilton.

  3. Standard Guest Room Conversion: To be eligible to reserve a hotel standard guest room and convert it for hospitality, office, or meeting purposes, one is required to spend a minimum of US$2,000 (US$1,000 for PTC members) on one or more of the following PTC items:
    • Full Conference / Networker / One-day / Meeting System Only Registrations
    • Sponsorships
    • Advertising
    • Exhibit cubicles
    • Meeting cubicles
    • Meeting tables
    • Suite signage (kiosk or door banner)

    Eligibility to reserve a converted standard guest room is not fulfilled by the purchase of aloha shirts, reception tickets, meeting and function rooms, and membership dues. All payments to the Hilton are also excluded. Please note that the minimum eligibility requirements must be met for each converted room and is in addition to the rates charged by the Hilton.

  4. PTC is not responsible for furniture and setup requirements and does not cover any costs associated with furniture and set-up. Please work directly with the Hilton for these arrangements.
  5. A suite may otherwise be reserved for personal use without meeting the PTC minimum spending requirements as long as it is agreed that it will not be used for business meetings or hospitality functions. This agreement will be secured in writing via the Personal Usage Exemption Form, which is available upon request.
  6. PTC controls the use of hotel meeting facilities and function rooms (for meetings, presentations, and hospitality functions). Meeting and function rooms will be released only to organizations that have registered at least four (4) Full Conference Registrations (or six (6), if Networkers). For evening functions that serve food and beverage, a PTC facilities charge of US$5 per person (based on F&B head count), will be invoiced to the hosting organization. This charge will be used to defray conference expenses and fund future PTC programs. Note: PTC’14 sponsors (Gold level and higher) will be given first priority on reserving meeting facilities and function rooms. Please email Lori Takeuchi for additional details.

 

Kiosk and Door Banner Signage


Digital kiosk signage will display your company name and suite/meeting room number(s). The kiosks will be displayed in several Hilton hotel lobbies as well as in the Mid-Pacific Conference Center. Download the Kiosk Signage Order Form (pdf).

Door banner signage is designed to be placed over the top of the door to your suite/meeting room, displaying your company’s name and logo on both sides (see illustration on order form). Download the Door Banner Order Form (pdf).

Signage Policy


Only PTC-authorized signs, such as PTC’14 door banners and kiosk signage, will be allowed on the Hilton property. PTC and Hilton security will remove all other unauthorized signs.
