Q: I am a conference program participant (speaker). How do I register for PTC’17?

For Workshop, Roundtable, Industry Briefing, and/or Topical Session participants, you are eligible to receive a discounted registration rate. Please note the relevant registration rates and deadlines below:

Q: I am a faculty member/student who is speaking at the conference. Do I register with the Program Participant rate?
A: Full-time faculty members may be eligible for the Faculty rate. For more information, please visit the Registration Categories & Costs webpage.
Full-time students may be eligible for the Student rate listed on the Registration Categories & Costs webpage. Please note the student registration does not include lunches. Lunch tickets are available for an additional US$18 per day on the days that lunch is served.
Q: I am a Program Participant (speaker) and my company is a sponsor. Can I register using the sponsorship registration benefit instead of the Program Participant rate?
A: Program participants may register using their company’s sponsorship registration. Please coordinate with the company’s organizer and advise PTC via email to firstname.lastname@example.org that you will be registering under the sponsorship category.
Q: Can I still register for PTC’17 if my visa approval is pending?
A: PTC strongly urges program participants to register for the conference as early as possible because registration rates increase as the conference dates near. In the event you are unable to secure your visa, PTC will refund your full registration fee with no cancellation charges (if applicable).
Q: I registered as a Program Participant (speaker) and I am unable to attend the conference. How do I cancel my registration and request for a refund?
A: Cancellation/refund requests must be submitted in writing to PTC via email to email@example.com and to the session organizer. PTC will not process refunds without a written request. Speaker cancellations are not subject to administrative fees.
Q: How do I reserve my hotel (sleeping) room at the Hilton Hawaiian Village® Waikiki Beach Resort?
A: Visit the PTC’17 Hotel webpage to reserve your guest sleeping room at the Hilton Hawaiian Village® Waikiki Beach Resort. Discounted room rates are available on a first come, first served basis to PTC’17 registrants.
Q: Do I have to stay at the Hilton Hawaiian Village® Waikiki Beach Resort?
A: Participants may stay at any hotel of their choosing. However, discounted room rates are only available at the Hilton Hawaiian Village® Waikiki Beach Resort. Many participants find the conference venue to be a convenient option because most of the conference events and receptions are held there.
Q: Do I need to attend any events other than my session?
A: For Keynote or Executive Insight Roundtable participants, please attend that day’s Program Participant Breakfast as well as your session’s Pre-Session Meeting.
For Workshop, Roundtable, Industry Briefing, and Topical Session participants (excluding Sunday participants), please attend that day’s Program Participant Breakfast. Please arrive in your session room at least 15 minutes before the session starts.
You will receive the relevant details from the Secretariat, if you have not yet received them.
Q: May I submit presentation slides for use during my session?
A: Presentations may be accepted for some sessions depending on the preferences of each moderator/session organizer. If a presentation is submitted, please download the Assignment, Permission & Release Form and return the completed form to firstname.lastname@example.org.
Q: When is the deadline to submit presentation slides and papers?
A: The deadline to submit all presentation materials is Friday, 2 December 2016. Your materials must be accompanied by a signed copy of the Assignment, Permission & Release Form. If you are unable to meet the deadline, please email email@example.com to request an extension.
Q: I would like to publish my paper in another journal or present the same material at another conference. Does PTC have any restrictions?
A: PTC does not restrict the publication of the paper or the presentation of the same material at another event AFTER the work has been presented at PTC’17. Please note the presentation slides and/or research paper will be published on the conference website.
Q: Can I offer a suggested speaker substitution if I am unable to attend?
A: To suggest a substitution, please contact PTC via email to firstname.lastname@example.org or the session/workshop organizer(s) with the substitute speaker’s job title, department, company, and short 150-word bio. Please note PTC and/or the session’s organizer(s) reserve the right to decline the substitution.
Any substitutions made after the PTC’17 Program Guide has been printed will only be reflected on the online program and mobile app.
Speaker substitutions are not subject to administrative fees.
Q: How do I transfer my registration to the substitute speaker?
A: If both speakers work at the same company, PTC will transfer the registration and provide a receipt of transfer. If the two speakers work for different companies, PTC will refund the registration fee and provide a receipt of cancellation to the original speaker. PTC will provide the substitute speaker with his/her registration link.
